Communication in the Workplace: Its significance and Ways to Improve it

Communication is the process of conveying a message to another party. It has various forms. One can communicate his thoughts through words, actions, or signs. In order to get the right message through, the communicating party has to ensure that the recipient understands the form of communication he uses.


Both parties have to use a form they are familiar with to avoid misunderstanding. Misunderstanding takes place when the recipient interprets the communicated message the wrong way. In an organization, one of the HR executive jobs is to send out communication. The department has to be sure that they are conveying a clear message so that everyone will understand.


Choose words that all parties understand. You cannot communicate to a person directly with the English language if he only understands French. You need and interpreter.


This holds true with interpreting actions. People do not really want their actions to be misinterpreted. However, this often happens. This is because people love to interpret what others do. A political candidate for example, donates a big amount of money to charity. He calls the media because he wants to make sure that everyone sees this good act. However, this does not mean that he wants media attention all the time.


The same politician argues with his wife, he raises his hand as a signal for her to stop. A journalist takes a photo of it. People will construe his angry face and his raised hand as an attempt to hit his wife. Although that is not the case, people will still believe what the photo captures. Even if the politician does not want the public to see that, they will, and they judge him for it.


This can also happen in the workplace. Gaps between employees arise because of wrong interpretations of actions and non-verbal signs. HR Administrator jobs can help prevent this from happening. They have to create an environment wherein employees are comfortable with saying what they want to say and co-employees can ask them questions if they do not understand them.


Communication in the workplace is very important. It is a vital factor in the achievement of their targets and overall goal. One wrong statement can be costly to the organization. For example, instead for bidding for $10,000, the secretary accidentally wrote $100,000. Because of the bid, the client chose them. The amount is way over what the organization could afford. If they will not reach the amount, the client will not pay.


A single error can cost so much trouble. The secretary could lose her job because of this. This is only one example of communication casualty. There are managers who were not able to close a deal because the memorandum he received indicated a wrong meeting place. The client thought that he is very unprofessional to fail to attend an important meeting and cancels the deal.


It is difficult to perfect the art of communicating especially in the workplace. There will always be employees who will violate perfectly polished policies and claim that it is not comprehensible. This remains a challenge for those who have HR generalist jobs.


Since communication is vital in the organization. It is only right that the administration pays it enough attention. It is not enough for them to reprimand the secretary for the typographical error. It is not acceptable to forget the deal that got away because of the wrong information. They have to reiterate to the employees the importance of communication and device a system that will monitor it until it is error free.


This should not focus on the operation alone. They also have to address the need for good communication in terms of the relationship among the employees.


Here are some helpful tips to improve the communication in the workplace:
1.    Instill accountability to all your employees. The reason why most employees do not check their work is that they know that they will not sign the document. They just prepare the letter or the memorandum and the head of office will sign it. Tell your employees to take accountability of their work by affixing their signature on the page before you sign it.


2.    Consult an expert in terms of coming up with complex policies. Even if you have the staffing manager jobs, you have to consult an expert in coming up with a process that is beyond your expertise. If you do not have the right process in transferring an employee to another department, the employees will doubt your intentions. However, if you follow a systematic procedure, everyone will understand it automatically.


3.    It would also be great if you conduct a seminar and talk about communication. Should the employees interpret the actions of their co-employees and supervisors? Although all of us know how to talk to other people and socialize, there are still a lot of things we do not know about communication. Having an expert to talk about it will give us a completely new perspective about conversing with others.


4.    Create an environment where people clarify information by asking questions. One of the reasons why misunderstanding takes place is because people do not ask questions. Encourage your employees to ask questions if they do not understand a policy or if they want to clarify something about their role in a particular campaign. The levels of understanding of people are different. Some need more explanation than others do.


5.    Encourage conversation. Communication does not only have to take place in a formal environment. Regular conversation in the workplace will help improve your working environment. People can easily ask for help when they need it. They can ask questions to better understand the instructions. Moreover, they will not be afraid to air their views regarding the various matters in the office.


You do not have to hold the HR analyst jobs to be able to interpret the message correctly. As long as you use the right medium and clarify things you do not understand, everything will go smoothly.
